bb7 is looking to hire an Office Manager who thrives working in a fun & dynamic environment with opportunity for growth and development. This individual must be a reliable and precise professional who can fulfill the responsibilities of this role that combines both office management and accounts payable functions. We are seeking a candidate who can analyze & process expense reports, work with vendors to resolve past due invoices, and reconcile monthly statements with vendors. In addition, this person will provide administrative support to the office including travel arrangements, shipping & package logistics, and hospitality for guests & clients.


  • Review and verify invoices
  • Sort, code, and match invoices and enter into QuickBooks for payment
  • Receive and verify employee expense reports
  • Record credit card transactions and reconcile statements
  • Creat Purchase Orders and manage overall PO process
  • Investigate and resolve problems associated with processing of invoices and purchase orders
  • Maintain vendor files, including agreements and purchase orders
  • Files, maintains, and distributes accounting documents, records and reports
  • Greet guests and visitors to the building, handle check-in procedure, and alert host of their arrival
  • Support conference room set-up and take-down for meetings and events
  • Primary person responsible for answering a multi-line phone and directing calls
  • Sort and deliver all incoming mail and packages, assist with outgoing shipping and logistics
  • Plan and organize employee and client lunches including catering set-up and take-down
  • Assist employees with obtaining visas and passports
  • Coordinate domestic and international travel including flight, hotel, and car rental reservations
  • Monitor and place orders for office needs (including office supplies, copier toner, coffee, etc.)


  • 5+ years of office administration/management experience minimum
  • 3+ years of experience in bookkeeping or accounts payable desired
  • Highly organized and detail oriented
  • Self-starter with strong problem solving skills
  • Highly proficient in Microsoft Office, including Outlook, Word, Excel, and PowerPoint
  • Experience with QuickBooks a plus
  • Must display an enthusiastic, polite, and pleasant demeanor both in person and over the telephone
